Reefer Fuel vs Tractor Fuel and How to Book Each Expense

When every diesel receipt lands in one fuel account, your books can't tell the reefer from the truck. That inflates your IFTA gallons, blurs the P&L on every reefer load, and leaves a federal credit unclaimed. Here's how reefer fuel vs tractor fuel differ in tax and in the books.
Key takeaways

Reefer Fuel vs Tractor Fuel, Same Diesel With a Different Job
Reefer fuel is diesel burned by a trailer's refrigeration unit, and tractor fuel is diesel burned to move the truck. The chemistry is identical. The IRS separates them only by dye and use, and that's what changes the tax.
Reefer Fuel vs Tractor Fuel in Your Books
Each setup lands differently on IFTA, taxes and the ledger. Four cover most fleets.
Fuel | What it powers | IFTA reportable | Federal excise tax treatment | How to book it (account) | Receipts to keep |
Tractor fuel (clear diesel, tractor tank) | Propels the truck | Yes, every gallon | 24.4 cents per gallon paid, no credit | Fuel (Tractor) | Date, seller, gallons, fuel type, price, unit, purchaser |
Reefer fuel, clear diesel, separate tank | Refrigeration unit's motor | No, confirm with your base jurisdiction | $0.243 per gallon claimable as off-highway business use | Fuel (Reefer), credit to Fuel tax credit (income) | Separate receipt with reefer gallons, date, supplier, amount, unit |
Reefer fuel, dyed diesel, separate tank | Refrigeration unit's motor | No | Only the 0.1-cent LUST tax, nothing to claim | Fuel (Reefer) | Receipt showing dyed product |
Reefer run from the tractor tank | Engine and reefer | Yes, unless your jurisdiction allows an exclusion | Reefer share claimable on a documented estimate | Split between Fuel (Tractor) and Fuel (Reefer) | Hubometer or ECM miles, reefer hours, estimate worksheet |
Fuel is a variable cost that moves with every load. Hide the reefer's share and you can't price a reefer lane.
Why Reefer Gallons Stay Off Your IFTA Return
IFTA taxes fuel placed in the supply tank used to propel the truck. A reefer's motor doesn't propel anything, so its gallons stay out of your quarterly IFTA filing. California says reefer gallons are not included in the gallons you report.
The catch is the shared tank. Fuel the reefer draws from the tractor tank is reportable by default, and each jurisdiction sets its own exemptions, so confirm with your base jurisdiction.
How to Claim the Federal Excise Tax Back
Federal diesel tax is 24.4 cents per gallon, 24.3 cents of excise plus a 0.1-cent LUST tax, per IRS Publication 510. Pub 510 treats fuel used in a separate motor that runs a refrigeration unit as off-highway business use.
The LUST portion isn't credited, so you claim $0.243 per gallon. At that rate, 1,000 clear reefer gallons return $243. A shared tank needs a reasonable estimate backed by records.
Only the ultimate purchaser can claim. File Form 4136 with your annual income tax return, or Form 8849 Schedule 1 for a quarterly refund once the claim reaches $750 or more. The same gallons can't go on both.
The IRS warns of a $5,000 penalty for incorrect claims. New Prime, Inc. sued the US in the Western District of Missouri in June 2026 for $11,016,644 in reefer excise tax the IRS denied, and the case is still pending.
Dyed Diesel Rules and the 2026 Federal Penalty Pause
Dyed diesel is limited to nontaxable uses, like a dedicated reefer tank. In the tractor, the normal federal penalty is the greater of $1,000 or $10 per gallon.
That penalty is paused for now. IRS release IR-2026-122 (Oct 14, 2026), following Executive Order 14435, waives federal penalties for dyed diesel in highway vehicles from Oct 1 through Dec 31, 2026. State penalties still apply.
Split the Fuel Stop and Keep Two Receipts
Fill the tractor first, then run the reefer as a separate transaction. Check that your fleet fuel card program shows two purchases. Each receipt should show:
Date of purchase
Seller's name and address
Gallons, and gallons per purpose
Fuel type, clear or dyed
Price per gallon or total paid
Unit number of the vehicle fueled
Purchaser's name
IFTA requires 4 years of retention and Form 4136 requires 3, so keep 4. Fuel receipts lead the IFTA audit records an auditor asks for.
Book the Credit as Income and Track Reefer Margin per Load
Pub 510 and the Form 4136 instructions count the credit as gross income if you deducted the full fuel cost, tax included, as a business expense. On the cash method, it's income the year you claim or receive it. On the accrual method, it's income the year you used the fuel.
Give it its own income line so it doesn't shrink fuel expense. Then map reefer gallons to each load, or reefer lanes look better than they are.

Where Fintruck Fits
Fintruck is AI-native accounting for trucking companies. Its trucking-native chart of accounts lets you create Fuel (Tractor), Fuel (Reefer) and Fuel tax credit accounts.
The AI Categorizer handles 75 to 80% of transactions, and AI Bill Scanning reads receipts. Per-truck and per-lane views of your trucking profit and loss statement show the reefer's cost on each lane.
FAQs
Is reefer fuel cheaper than tractor fuel?
Only when it's dyed, since dyed diesel skips the federal excise tax. Clear diesel for a reefer costs the same, but you can claim $0.243 a gallon back.
Do you report reefer fuel on your IFTA return?
No, not when it goes into a separate reefer tank, because IFTA taxes fuel that propels the truck. Fuel the reefer draws from the tractor tank is reportable unless your base jurisdiction allows an exclusion.
Can you put reefer fuel in a semi truck?
Clear diesel, yes, since it's the same fuel. Dyed diesel in the tractor normally draws a federal penalty of the greater of $1,000 or $10 per gallon, but the IRS has paused it from Oct 1 to Dec 31, 2026, and state penalties may still apply.
How do you claim the federal tax back on reefer diesel?
File Form 4136 with your income tax return, or Form 8849 Schedule 1 for any quarter where the claim reaches $750. Then book the credit as income.
